Sick leave letter to employer: write your message in one minute

A sick leave letter to your employer is a short message that says you are unwell, which day you are off from, when you expect to be back, and whether a certificate will follow. You do not usually need to name your illness. Send it before your shift starts, using the channel your employer asks for.

How to use this tool

  1. Pick the message type: first day email, formal email, text, extension, return to work, or student absence.
  2. Choose how you will send it and the language your manager reads.
  3. Add your first day off and, if you know it, your expected return date.
  4. Say whether a certificate or fit note will follow and add any handover notes.
  5. If you like, pick your country to see its notice and certificate rules next to your message.

What should a sick leave letter to your employer include?

Keep it to five facts: you are unwell, the day you are off, your expected return, any proof to follow, and what needs covering. Your manager needs to plan the day, not read a medical history.

Here is the checklist the tool follows:

The checklist the tool follows
IncludeWhy it helps
A clear first line: "I am unwell and will not be in today"Your manager knows the point at once
The date your absence startedSick pay and records run from this date
Your expected return, or "I will update you on [day]"Your team can plan cover

Who can cover, if you knowSaves your manager a phone call
When and how you can be reached, if at allSets clear limits while you rest

You can also add one line of thanks. It costs nothing and keeps the tone warm.

What can you leave out of a sick leave message?

You can usually leave out your diagnosis, your symptoms in detail, and any long apology. "I am unwell" is a full reason for most short absences.

UK data protection guidance from the Information Commissioner's Office tells employers that their interest is mainly whether a worker is fit to work. It also says employers must not collect more health information than they really need. Health data is one of the sensitive types of personal data under EU data protection rules too.

So you can keep the medical detail between you and your doctor. Some employer policies ask for a general reason, such as "stomach bug" or "migraine". If yours does, give the shortest honest answer that meets the policy. If you have a condition that affects your work over time, a private talk with HR or occupational health is a better place for it than a team email.

Also leave out:

  • Promises you cannot keep, such as "I will definitely be in tomorrow".
  • Offers to work from bed when you are too ill to work.
  • Other people in copy who do not need to know.
  • Screenshots of medical letters or test results.

When should you tell your employer you are sick?

Tell them as early as you can, and before your start time where possible. Your employer's sickness policy sets the exact rule, so check your contract or staff handbook.

Across Europe, the official wording is usually "without delay", "immediately" or "as soon as possible". A few countries set a firmer limit, such as 2 hours after your working time starts in Denmark or the second day of absence in the Netherlands and Poland. The tables below show the rule for each country we cover.

The message to your manager and the doctor's certificate are often two separate steps. In many countries the doctor now sends the certificate electronically, but you still have to tell your employer yourself.

A simple routine works almost everywhere:

  1. Message or call your manager before your shift starts.
  2. Use the channel your employer asks for. Some want a phone call, not a text.
  3. Copy HR only if your policy says so.
  4. Send an update before the return date you gave, if anything changes.

When to tell your employer in each country

These tables show when to tell your employer you are sick and when a doctor's certificate is needed in each of the 42 countries we cover. They are based on official government guidance, last checked 15 October 2026.

Where a cell says "Ask your employer", we could not confirm that rule, so follow your contract, staff handbook or collective agreement. These can also set stricter rules than the law. Pick your country in the tool to see the same rules next to your message.

Email, text or formal letter: which should you send?

Use the channel your workplace already uses for absence. If there is no rule, email to your manager is the safest choice because it leaves a dated record.

A text or WhatsApp message is fine for many small teams and shift work. Follow it with an email if your policy asks for written notice. A formal letter suits HR departments, public sector employers and long absences.

Some employers want you to phone in person, at least on the first day. If so, call first and send a short email afterwards to confirm what you said.

How formal should it be? Match the way you normally write to the person who reads it. A friendly note suits a manager you message every day; a formal letter suits HR or a large employer you rarely deal with.

The tool offers three tones. Friendly uses first names and short sentences. Neutral keeps a polite, plain style that works almost anywhere. Formal uses a full greeting, a subject line with your name and dates, and a signature with your team or job title.

Whatever the tone, keep the facts the same. A casual message still needs the date you are off and when you will update your manager. A formal letter still does not need your diagnosis.

If you are unsure, pick neutral. It reads well to a manager, to HR and to a tutor.

What if you fall ill during a holiday? Tell your employer as soon as you can, using the same message you would send on a working day. In the UK, government guidance says that if you are ill just before or during a holiday, you can take that time as sick leave instead.

Say clearly which days you were booked on holiday and which days you were ill. Your employer can then update both records. Follow your usual policy on proof, since the same rules on self certification and fit notes apply.

Rules on this point differ outside the UK. Check your country on our sick leave rules page or ask HR before you assume the days will be returned to you.

Ready to use sick leave message examples

These examples are written for this page. Copy one, then change the names, dates and details. The tool builds the same kinds of messages for you.

Example 1: short first day email

Subject: Sick today: Sam Taylor

Hi Priya,

I am unwell and will not be able to work today, Tuesday. I expect to be back on Thursday and will let you know tomorrow afternoon if that changes.

The client call at 2 pm can move to Friday, or Jon can take it using the notes in the shared folder.

Thanks,
Sam

Example 2: formal email to HR

Subject: Sickness absence notification: Sam Taylor, from 3 November

Dear HR team,

I am writing to let you know that I am unwell and unable to work from Tuesday 3 November. My manager, Priya Shah, has been told by phone this morning.

I do not yet know when I will be fit to return. I will give you an update by Friday. If my absence goes beyond the period I can self certify, I will send a certificate as your policy requires.

Kind regards,
Sam Taylor
Accounts team

Example 3: text or WhatsApp message

Hi Priya, it's Sam. I'm ill and can't come in today. I'll update you by 6 pm about tomorrow. Today's orders are logged on the board. Sorry for the short notice.

Example 4: extension of absence

Subject: Update on my sickness absence: Sam Taylor

Hi Priya,

I am still not well enough to work, so I will be off for the rest of this week. I now expect to return on Monday.

I am seeing a doctor tomorrow and will send any certificate or fit note as soon as I have it. Jon has the handover notes for the supplier review.

Thanks for your patience,
Sam

Example 5: return to work notice

Subject: Returning to work on Monday: Sam Taylor

Hi Priya,

I am feeling better and plan to be back at work on Monday at the usual time. I can complete the self certification form on my first day if you need it.

Could we have ten minutes on Monday morning so I can catch up on anything urgent?

Best,
Sam

Example 6: student absence to a school or university

Subject: Absence from Statistics 201: Alex Novak

Dear Dr Rossi,

I am unwell and will not be able to attend today's seminar. I will catch up on the reading and check the course page for any notes.

If my absence affects the essay deadline on Friday, I will contact the student office about the right process and any evidence they need.

Kind regards,
Alex Novak

Worked example: one absence, three messages

This example uses made up names and dates and works the same in any country. It shows how the messages change as an illness goes on.

Sam works in an office and wakes up ill on a Tuesday. Here is what Sam enters in the tool and what comes out:

One absence, three messages
StepInputs in the toolMessage produced
Tuesday, 7:30 amShort email, neutral tone, start date Tuesday, return "not sure yet", certificate "not sure", handover: move 2 pm callA five line email saying Sam is off today, will update by Wednesday afternoon, and that the 2 pm call can move
Thursday, 8:00 amExtension, start date Tuesday, return date next Monday, certificate "yes"A short update saying Sam is still unwell, now expects to return Monday, and will send a certificate
Sunday eveningReturn to work notice, return date MondayA note confirming Sam is back on Monday and asking for a short catch up

Sam never names the illness in any message. Each message gives the dates and the next step, which is what the manager needs.

Is a sick leave letter the same as a medical certificate?

No. Your letter tells your employer you are absent. A medical certificate, or a fit note in the UK, is written by a qualified professional and states whether you are fit for work.

In the UK, government guidance says you do not need a fit note for 7 days or less. When you go back, your employer can ask you to confirm you were sick, which is called self certification. You might do this on a form or by email.

If you have been ill for more than 7 days in a row, including weekends and bank holidays, you need a fit note. A GP, hospital doctor, registered nurse, occupational therapist, pharmacist or physiotherapist can issue one. The fit note says either that you are not fit for work or that you may be fit for work.

Acas adds that if your fit note is delayed, you should contact your employer to explain and say when it will arrive. Our tool's extension template includes a line for that.

To see what a certificate looks like, visit our medical certificate format library. Never present this letter, or any sample, as a certificate.

How should you stay in touch while you are off?

Agree how and how often you will be in contact, then stick to it. Acas guidance says employers and employees should agree how to stay in touch during absence and how much contact is reasonable.

That agreement can cover how often you speak, the method, and who you deal with. It might be your line manager, another manager or HR. If the person you usually report to is part of the problem, ask for a different contact.

You do not need to answer every work message while you are off sick. A line in your first message such as "I will check email once a day for anything urgent" or "I will not be checking email" sets clear limits.

When to see a doctor straight away

Call your local emergency number straight away if you have chest pain, trouble breathing, signs of a stroke such as a drooping face or weak arm, severe bleeding, or sudden confusion.

See a doctor soon if you have a high fever that does not settle, symptoms that keep getting worse, or an illness that has gone on longer than you expected. Writing to your employer can wait until you are safe.

How getmedicalcertificate.com can help

If your employer needs proof as well as your message, getmedicalcertificate.com offers an online sick leave certificate. A doctor reviews your case and decides whether a certificate can be issued. You pay EUR 34.99 only after that review, with no added fees at checkout, and get a full refund if the doctor cannot issue it.

If approved, you receive a signed PDF, usually within about 30 minutes of the doctor's approval. It carries a reference code anyone can check. Certificates are issued in English, across 42 countries in Europe. We cannot promise that a certificate will be issued, accepted or backdated.

Not sure you need one yet? Try our do I need a doctor's note checker first.

Frequently asked questions

Usually not for a short absence. Saying you are unwell and unable to work is normally enough. UK data protection guidance tells employers their main interest is whether you are fit to work, and that they should not collect more health information than they need. Some employer policies ask for a general reason, so check yours and give the shortest honest answer.

As early as you can, ideally before your shift or working day starts. Across Europe the usual rule is "without delay" or "as soon as possible", and some countries set a firm limit, such as the second day of absence in the Netherlands and Poland. Our table of all 42 countries shows each rule. Your employer's sickness policy can be stricter, so check it too.

No. A sick leave email or letter only tells your employer that you are absent and when you expect to return. A medical certificate, or a UK fit note, is issued by a qualified professional and states whether you are fit for work. Your employer may ask for a certificate as well as your message, depending on how long you are off and the local rules.

Often yes, if your workplace accepts it. Many teams use text or WhatsApp for quick absence notes, especially in shift work. Some employers require a phone call or an email to a set address, so check your sickness policy. If you text first, follow up by email when your policy asks for written notice, so there is a dated record of your absence.

According to UK government guidance, you need a fit note if you have been ill for more than 7 days in a row, counting weekends and bank holidays. For 7 days or less you can self certify, which means confirming to your employer that you were sick, often on a form or by email. A GP, nurse, pharmacist and several other professionals can issue fit notes.

Yes, for statutory sick pay. Citizens Information says you must be certified by a medical practitioner as unable to work, and you should be certified from the first day of sick leave. You also need to have worked for your employer for at least 13 weeks. Your employer may run a more generous scheme, so check your contract too.

Say so plainly and give a date for your next update instead. For example: "I am not sure yet when I will be back. I will update you by Thursday at noon." This lets your manager plan without you guessing. Then send an extension or return to work message as soon as you know more.

You do not have to answer every message while you are off sick. Acas suggests that employers and employees agree how often to keep in touch, by which method and with whom. Set that out in your first message, for example by saying you will check email once a day for urgent items only, or not at all.

No. The message is built in your browser and nothing you type is sent to or stored on our servers. There is also no field for symptoms or a diagnosis, because you do not need one to write a clear sick leave message. When you close the page, your inputs are gone, so copy or send your message before leaving.
